Protect Your Business From Your Employees with Photo ID Systems

Many organizations utilize identification cards printed with photo ID systems to keep unauthorized people from entering secure areas of the company or accessing virtual information that an organization determines is private. Time and planning occur to obtain the best system to maintain security of these items. Often an access or security system is purchased to provide maximum defense against those who wish to invade the critical areas of a company.

By analyzing company loss, many times security officials will observe that the greatest threat to security and physical protection may not come from the outside. Most organizations will discover with close analysis that their losses come from employees rather than strangers.

According to the National Retail Federation, employees will steal 50 percent more than those who choose to shoplift. Additional loss can be diminished by expanding the application of ID systems for everyone who is related to the company. Badging and access procedures can be put in place for visitors, contractors and employees so that access is individually limited to the areas that apply to the individual. Limiting access to supplies, equipment and various facilities can limit the opportunity there is to help oneself when provided the opportunity to access materials that are useful to the person outside of business applications.

Limiting employee entry to various office spaces will protect supplies, equipment, copy machine access and computer files. Another element of protection is sources of cash. Many companies have moved to vending machines that require a debit card transaction. This transaction eliminates actual cash transfer. With this application, vending machines are not subject to as much vandalism as cash is not located within the machine.

Companies can also provide additional protection by requiring visitors, contractors, temporary workers and delivery personnel to display company ID while on the premises. This ID may be in the form of a plastic identification card or it may be a simple visitor pass that can be made with a small printer at the point of entry. Systems to make ID cards can include the ability to print graphics, logos, bar codes and even photos on the badge. Some badges can be used that will expire after a specific length of time so that the badge is not used over and over again without expiration.

To make the identification process beneficial, management must believe in the importance of a security process and specific security guidelines must be documented and followed to make the security application a success within the organization.
