One of the most important decisions a new business can make is choosing the right copier for their business needs. There are several factors to consider when selecting business copiers and printers. Making an informed decision is the smartest approach to major purchases. It's important to analyze the company's resources and printing habits to determine what type of machine will meet the company's needs.

Business copiers and printers generally print on letter sized paper and legal sized paper. Some are also able to print on index cards, banner rolls, envelopes of various sizes and shapes and even rolls of peel-and-stick labels. If, in the course of business, it will be necessary to print on papers of varying weights and thicknesses, it would be wise to make a note of that before considering printer or copier rentals. Finally, some printers store commonly used paper stock within the machine, requiring that less time be spent reloading the machine.

The color and type of ink the machine uses is also an important thing to consider. Toner cartridges can be expensive, but they tolerate much more use than ink cartridges, and end up costing less per page. Adding the option of printing in color presents new considerations. Some units require multi-color cartridges that must be exchanged when only one color runs out, or separate ink tanks for each color that can be changed individually as they run out.

The available power source is also an important consideration. Most desktop models only require a standard outlet but freestanding upright models often require more power to operate, which may require a special outlet, installed by an electrician and designed to provide more voltage to a machine that gets heavier use. In a larger office, it will be important to weigh the consequences of placing several smaller copiers throughout the facility as opposed to having one central machine that's used by everyone.

Many business copiers and printers can double as fax machines. Larger units may have computer-controlled modems built in and desktop units can have fax command keys and even a phone on top of the machine. The availability of phone lines, an incoming facsimile line, the frequency of incoming and outgoing faxes are things to consider.

Having several staff members sharing a machine will mean that the printing speed needs to be evaluated, as well as the networking capabilities. Wireless networking is becoming increasingly popular, both for file sharing and for communicating with peripherals like printers, copiers and fax machines.
