Copier Rentals for Your Office: Choosing the Right Machine

By : Stephen Daniels

Renting a copy machine for your office is the perfect solution for many situations. Perhaps you're still undecided on which machine you want to purchase, your own is being repaired or maybe a new machine just isn't in the budget right now. Perhaps you need a copier for a short term; for a trade show or other type of special event. Even though you are not committing to making a purchase just yet, there are still decisions to be made about which copier will best suit your needs. Here are some things that you should consider when choosing a copier to rent or lease.

First, make sure renting a copier is the best option for your situation. If you only need the machine for a short time, a month to month rental without contract would probably be the best way to go. However, if you're looking to satisfy long-term copying needs, purchasing or leasing your equipment could be the better option. This task, however, can be a bit daunting as there are many machines available through each of these routes, and finding the right machine is crucial to productivity.

There are many options and features available on copy machines today. Of course, these options can also increase the rental price exponentially. Color, speed and multi-functions are the most common optional copy features. If your business doesn't require color copies, you will pay approximately 30% less for a black and white machine than you would for a color copier.

Some machines are multi-function and can scan, fax and network with computers as well as print and copy. If all you need is a copier, don't let yourself be talked into a lease or purchase of more than you need. The same logic applies to printing speed. If you do not do high volume printing, there is probably no need to invest in a super-fast machine that will only increase your expenses. Further, if your printing volume is relatively low - 700 or fewer copies per month, purchasing a small office copier of your own could be a wiser solution than renting a business grade copy machine.

The most important thing to consider when considering copier rentals is whether it can meet all of your office needs without increasing your rental expense with optional features you will not use. When you know exactly what you're looking for, you can begin shopping around to compare prices with vendors and merchants to ensure that you get the best deal.
