Choosing the Right Copy Machine Leasing Company

Would you lease a car from a dealership you didn't know anything about? Probably not. Copy machine leasing companies are no different - if you want the best copiers, it all starts with finding a good dealer. Read on for advice on how to tell the good copy machine leasing dealers from the bad.

First, it's important to get to know the basics of each prospective dealer. Find out how many years they've been in business, their major clients, the brands of copiers they carry, and their top selling brands and models. Be wary of new businesses, or those that are unable to provide information on other accounts. Make sure your copy machine leasing dealership has the brand of copier you're looking for; if they don't carry it, or if it's not their top seller, you might consider going elsewhere.

Service is another important part of copy machine leasing. Even top quality copy machines occasionally need repairs or parts replaced, and depending on your business, you might require emergency coverage on nights and weekends. Ask what kind of service agreements each dealership offers, and whether any of these come with guaranteed response times (for example, a promise that your machine will be repaired within four hours).

As copy machines become more and more complex, so do their servicing needs. Thus, just because a dealership assures you that it has a large staff of technicians, it's possible that only a select few of these people will be familiar with the specific brand and/or technology you are interested in leasing. Additionally, you should ask each prospective dealership where their technicians are located; if they are in an area remote to your office, this is only going to delay the response time.

Of course, asking a dealership about its capabilities and staff is only going to go so far, as companies aren't generally eager to admit their shortcomings and limitations. This is why it's so important to ask for references. If a dealership doesn't have any references, you should remove it from consideration right away.

If there are copy machine leasing references available, it's best to request accounts with the same make and (if possible) model of copier you are interested in. For example, if you are thinking about a multifunction color copier, you're not going to benefit from speaking with a company that has only leased simple black and white models. Besides for the quality of the copy machines, remember to ask your references about their experience with maintenance and repairs.

To avoid this extra work, some business owners decide to lease their copiers through office superstores, however this is not recommended. For one thing, office superstores only have access to low-end copiers, which means you'll be missing out on the best and newest copy machines. Moreover, office superstores are unable to provide the level of service available at copy machine dealerships; most superstores offer manufacturers warranties to cover repairs, but not necessarily in a timely manner.
