Personally I don't think we will ever totally engage in a paperless environment, making effective document management a key target for all businesses both off and online. When you consider the alternatives, there are many benefits of document management.With almost every company and business now using computers to conduct their daily operations, good document management has never been easier. In the days prior to widespread computer use, most documents would be stored in dusty back rooms, where everyone in the office environment had access to them.

Files would be stored, categorized, and retrieved without much of a system, and with everyone having access to the filing areas, it was commonplace to realize that some paperwork was missing, damaged or incorrect6ly filed. This was not only a tedious practice, it was a costly one when you consider how much labour time was spent by employees accessing the documents on a daily basis. With the introduction and widespread use of computers, effective document management is now easier and more secure than ever before.

Paperwork that is destined for the business archives or other areas, can now be electronically scanned into the computer, saved to a relevant directory on the mainframe, and even password protected, meaning that only those people with the correct authority, can access the files. We live in a world where data theft is prolific, so by making sure that the documents in your organization are protected at all times, means that you are less likely to ever get caught out by those who would otherwise have open access to your data. So important is this area of business, that specialized companies have been established over the past few years, to specifically deal with this.

Specializing in the collection, storage and protection of your business data, these companies have grown exponentially over recent times. Of course this may not be the solution for you, and it depends on the amount of data you have to manage and the size of your operation, but where these companies are not your ideal solution, your own computer system can be the biggest benefit of document protection, within your reach.

A typical scenario where you will appreciate the benefits of document protection would be in the instance of needing data recovery. This could be because your systems have crashed, or you have been the victim of malicious activity, or even worse, you may have experienced some type of natural disaster, where all of your internal records have been destroyed or damaged. By having introduced a system of document protection earlier, there is every likelihood that the recovery of your valuable data is no more difficult than a call to your online backup server.

This works in such a way that your computer systems would create back ups of your protected data on a daily basis, and those backup files would be sent electronically to a professional organization that stored your files away from your own system, and certainly away from your premises. In the even that you do lose your own records, you would simply call the data company, and request a copy of all of your files, which would then be able to be extracted back into your computer system, restoring your data to its current status. Overall, when you consider the simplicity of the solutions available to you, it is easy to see the benefits of document protection, from a basic password protection of your documents, to the off site storage of your entire database.
